Sign Up a Client

Step-by-step Instructions

Log on to 2Shakes.

The first time you log on you go to the Profile page to set it up, after that all subsequent logons will go to the Dashboard. From the top navigation of the Dashboard you can select +Add Client to start a new client Sign Up process.


Use the ABN to find locate your client

If your client is a sole trader, company or other registered entity you can search for them using the 2Shakes integration with the ABN (Australian Business Number register). Simply type in the clients name and select either Get Sole Trader ABN or for an organisation Search ABN to pull in ABN data.

When you use the ABN for the main signer 2Shakes will assume that they are being signed up as a Sole Trader party on the agreement.

2Shakes formats sole traders names into First Name (Title Case) and SURNAME (CAPITALS). If AML applies 2Shakes will automatically select individual or Sole Traders as their AML entity type based on the individual having a sole trader ABN or not.

One agreement - Multiple entities

2Shakes lets you sign up groups of related entities on one agreement. If your client is a couple who together own several businesses a trust then you can create one agreement for all. For example an engagement letter with a husband and wife, two businesses and a trust.

Main Signatory must be able to sign for all the organisation. You must choose if they are also signing up for themselves as an individual.

Individual you can add in other people you will represent as individual clients or as sole traders who are part of this client group. Individuals will sign for themselves (not the main signatory, unless there is a valid reason like a Deceased estate).

Add an Organisation button lets you add in companies, trusts or other entities who are part of the group that the main signer will sign for.

Services, Fees, Authorities

Information from your profile is pulled in to the agreement from your Profile

What services will you provide to the client? If required, change the services description or deselect/select from the tick box list.

Fees text can be changed if needed to reflect what you have agreed with your client.

Terms & Conditions A drop down box allows you to choose between standard and alternative Term & Conditions (if applicable).

What attachments should be sent to the Client? The attachments that you loaded from your Profile page show here. The default is to send them all, so deselect any you DO NOT want to be included. Click Proceed to move to the Authorities screen.

The authorities you set up in the Profile page will show here.  Select those that apply or deselect those that do not apply for your client.

If AML Customer Due Diligence applies

When you get to screen 4/5 you are asked Will these services require Customer Due Diligence?

If you are a reporting entity and intend to offer the customer a designated service then select the check box next to this question and the screen will open up to show you the additional information needed. To find out more go to our support page for AML/CTF Customer Due Diligence.

Parties and Signatories

Parties shows the organisations and individuals in the sign up list.  You need to decide who will sign up the agreement and how they will sign.

Select who signs this agreement lists the individuals who normally would need to sign to the agreement. A Client list with more than one individual will show a main signatory and other signatories. A single entity agreement will show a main signatory and an Add Signatory button (you can add all directors to sign for example).

The following options are available:

  • Method: Choose if the person will sign via email, signed on printed paper or does not need to sign (deceased estate etc.).

  • IDV type: Chose if you want to biometrically verify proof of identity, if you will manually check identity or if no identity check is needed. If you are seeking to act as an (BAS or TAS agent), then no identity will not appear as an option.

  • Save Draft saves the current agreement on your Dashboard page.

  • Draft PDF opens a draft PDF of the agreement so you can see what will be created after signing.

  • Signing / Agreement Email lets you review and amend the emails that will be sent to you client asking them to sign and then again after they have sign when the signed agreement is emailed to them.

  • Notes & Files: Allows you to create text notes or upload documents or files against the agreement for later reference.

  • Proceed to Signing moves to the Agreement Management screen and will trigger signing emails being sent.

What if I need multiple signers for one organisation?

If you need more than one person to sign for one entity or organisation you do that in 2Shakes with a single entity agreement. For example a trust that needs all the trustees to sign the agreement. You would enter the trust main signatory and the trust entity on page 1 of the sign up flow. As there is only one entity (the trust), you can add additional people (trustees) to sign on the Parties and signatories page.

Tracking Signing & IDV

Dashboard and Management Screen

Each time a party signs or completes their Identity process their status updates on the Agreement management screen. You can access the agreement manage screen from the Dashboard.

Notifications

Email notifications in the Business Profile > Branding screen allows you to enable (or disable email notifications of when the agreement is signed or when someone completes IDV.

Agreement Email

When all parties have signed, and all Identity checks are completed and accepted then each person who is a party (signed) the agreement will be emailed the completed signed agreement. The wording that they see on this email can be pre-set on the business profile > branding page or can be altered on the Parties and Signatories page using the Agreement Email button.

AML CDD

If AML CDD applies then after signed agreements have been sent to clients, they required final approval by the AML officer before moving to the status of complete.
